This job oversees all functions of the Circulation department, including developing staff schedules, resolving patron issues, configuring and analyzing reports from the PINES system, and maintaining the automated checkout/in system. The ideal candidate must excel in customer service, be able to resolve patron issues with both firmness and tact, and empower the circulation staff to do so as well. The Circulation Coordinator must be energetic, innovative and technologically savvy, as well as be able to work well and communicate effectively with other library departments.This position’s immediate supervisor is the Assistant Director of Public Services.


Minimum Education, Training, and Experience
The successful applicant must possess a bachelor’s degree or greater. Customer service experience, at least two years of supervisor experience and previous public library experience are required.

Essential Duties and Responsibilities
The following duties are normal, but not exclusive or all-inclusive, expectations for this job.  Other duties of a similar nature may be required and assigned, and job assignments and schedule may change in the future. 

  • Manages the daily operations of the Circulation Department
  • Assists with problem solving and manages workflow
  • Oversees the selection, supervision, training, performance appraisal and recognition, discipline, and professional development of circulation staff
  • Develops and guides staff toward the highest standards of customer service.
  • Establishes departmental priorities
  • Assists other departments with planning and implementing library programs
  • Keeps abreast of changing technology as it impacts library service delivery
  • Develops staff schedules
  • Understands and explains library policy clearly; handles disputes pleasantly and according to policy
  • Coordinates unpacking and ensures proper handling of PINES and local transited items
  • Manages delinquent customers’ accounts, including working with collections service as needed
  • Maintains customers confidentiality at all times, except as required by law
  • Oversees and monitors handling of money; works with Business Office on handling and processing fines and fees. Resolves refunds to patrons; oversees lost and damaged item payments.
  • Works closely with IT department and outside vendors to maintain circulation system including RFID, AMH, self-checkout stations and security gates and keeps abreast of emerging technologies.
  • Runs monthly circulation reports from the PINES (Evergreen) system; provides analysis of circulation trends
  • Accurately sorts and shelves materials and oversees shelvers
  • Coordinates security of the library; may serve in rotation as on-call responder to after-hours alarm calls
  • Serves as local system administrator of PINES; works as library liaison for PINES issues
  • Serves on the library’s Resource Team
  • Acts as liaison for various book clubs

  • Knowledge of PINES/Evergreen integrated library system
  • Knowledge of self-checkout and automated return systems
  • Knowledge of the principles, practices, procedures, operations and functions of the library system
  • Knowledge of customer service principles and skill in providing efficient, positive and professional customer service to patrons of all ages
  • Knowledge of library technology services and ability to learn new technologies in a timely manner; must keep up-to-date on technology trends and developments
  • Good organizational, management and human relations skills
  • Effective communication and interpersonal skills, and ability to interact successfully with patrons, staff and all others involved in the activities of the library
  • Ability to creatively solve problems, negotiate and handle stressful situations in a positive manner which includes tact, patience and courtesy
  • Ability to remain calm under busy, stressful conditions
  • Ability to exercise good judgment and make independent and critical decisions using established practices and procedures
  • Ability to maintain regular, predictable and punctual attendance
  • Physical demand requirements are at levels of Medium Work.
